Feature · Rules per merchant
Explain it once. Never again.
Some lines never have an invoice: personal purchases, bank fees or the parking meter. Close such a line once with a note, let Pairoli remember the merchant, and next months it happens on its own.
How it works
-
Close a line
On a line without an invoice choose “No invoice needed” and write a short note, such as “personal”.
-
Remember the merchant
Tick the box to remember this merchant. A rule is created for your whole team.
-
Automatic every month
On every new statement, lines from that merchant are closed right away with the same note. Open lines are updated immediately too.
What you can do with it
- All your rules in one place
- One page shows which merchants have a rule, who created it and how often it was applied.
- The note comes along
- The note is also in the PDF for your bookkeeper, so they know why there’s no invoice.
- Always reversible
- Delete a rule and future statements behave normally again.
Questions about this feature
Does a rule also apply to earlier months?
Yes, to lines that are still open. Lines already closed stay as they are.
Does a rule apply to my whole team?
Yes. Rules belong to the team, so everyone benefits.
What if the merchant does have an invoice one time?
Just match the invoice to the line manually. That always takes precedence over the rule.
Works well with
-
Splits and refunds
Several invoices for one line, and refunds that cancel themselves out.
-
PDF for your bookkeeper
One file: cover page, statement and every invoice in the right order.
-
Automatic matching
Every statement line is compared with your invoices on amount, date and supplier.
